What Does a Wedding Coordinator Actually Do?

Most couples don't know the difference between a wedding planner, a wedding coordinator, and a venue coordinator until it's too late. Here's a clear breakdown of what each role actually covers.

What Does a Wedding Coordinator Actually Do?

One of the most common sources of confusion in wedding planning is the difference between a wedding planner, a wedding coordinator, and a venue coordinator. These terms get used interchangeably, but they describe very different scopes of work, and understanding the distinction can save you from a significant gap in coverage on your wedding day.

The Venue Coordinator: What They Do and Don't Do

Almost every wedding venue provides a venue coordinator as part of the rental. This person is an employee of the venue, and their job is to manage the venue's interests on your wedding day, making sure the space is set up correctly, that the venue's staff are doing their jobs, and that the event ends on time.

A venue coordinator is not your coordinator. They are not responsible for managing your vendors, keeping your timeline on track, troubleshooting problems with your florist, making sure your grandmother gets to her seat, or handling the hundred small things that come up in the hours before and during a wedding. When couples assume their venue coordinator will handle these things, they often find out on the day itself that they were wrong.

The Wedding Coordinator: Day of Support

A wedding coordinator, sometimes called a day of coordinator or wedding manager, steps in during the final weeks before your wedding and takes over the operational management of the day itself. This is the person who runs your rehearsal, creates and distributes the final timeline to all vendors, manages the flow of the ceremony and reception, and handles problems before you ever know they existed.

At PREP, we call this Wedding Management, and it's one of the most valuable services we offer. You've done the planning. You've chosen your vendors, designed your details, and made your decisions. What you need on the day is someone who knows every piece of the plan and can execute it flawlessly, so you can actually be present for your own wedding.

A good wedding coordinator is invisible to your guests. They're the reason everything seems to flow effortlessly, even when it doesn't.

The Full service Wedding Planner: End to end Partnership

A full service wedding planner is involved from the very beginning, often before you've booked a single vendor. They help you define your vision, establish your budget, identify and vet vendors, manage contracts, design the aesthetic, and build the entire event from the ground up. They're a true partner through the entire planning process, not just the execution.

Full service planning is the right choice for couples who want expert guidance from day one, who are planning a complex or large scale event, or who simply don't have the time or desire to manage the hundreds of decisions that go into a wedding.

Partial Planning: The Middle Ground

Many couples fall somewhere in between, they want to be involved in the planning and make their own decisions, but they want professional support for the parts that feel overwhelming. Partial planning services provide that balance: you stay in the driver's seat, and your planner steps in for specific tasks like vendor sourcing, design direction, or budget management.

Which Do You Actually Need?

The honest answer depends on where you are in the process and how much support you want.

If you're just starting out and want someone to guide you through the entire process, full service planning is worth exploring. If you've done most of the planning yourself and want to hand off the execution, wedding management is likely the right fit. If you're somewhere in between, partial planning may be the answer.

The one thing we'd caution against is assuming your venue coordinator will cover the gaps. They won't, and that's not a criticism of venue coordinators, it's simply a description of what their role is designed to do.

If you're not sure what level of support makes sense for your wedding, reach out and we'll talk it through. There's no pressure and no obligation, just an honest conversation about what your day needs.
