Vendor Tipping Guide for Paso Robles Weddings

Tipping is one of those wedding topics that nobody talks about until the week before the wedding, and then suddenly everyone has a different opinion. Here's a straightforward breakdown of who to tip, how much, and when, based on what actually happens at weddings in Paso Robles wine country.

The Short Version

Tipping is never required, but it is expected for most service vendors. The exception is business owners, if the person serving you owns the company, a tip is a nice gesture but not the norm. If they're an employee or contractor, tip.

By Vendor Category

Catering Staff Most catering contracts include a service charge (typically 18 to 22%). Check your contract. If it's there, it may or may not go directly to the staff, ask your caterer. If it doesn't, or if the service was exceptional, $20 to $50 per server is appropriate. The catering captain typically receives $50 to $100.

Bartenders If gratuity isn't included in your bar contract, $50 to $100 per bartender is standard. Some couples put out a tip jar; others prefer to handle it privately at the end of the night. Either works.

Hair and Makeup Artists 15 to 20% of the total service cost, the same as you would at a salon. If they traveled to your venue or worked a long day, lean toward 20%.

Photographers and Videographers Tipping is not expected for photographers and videographers who own their own businesses, but it's always appreciated. If you had a second shooter or assistant, $50 to $100 for them is a kind gesture. For associate photographers working under a larger studio, $100 to $200 is appropriate.

DJ or Band For a DJ, $50 to $150 is standard. For a live band, $25 to $50 per musician. If they went above and beyond, extended the set, learned a special song, kept the energy up all night, tip accordingly.

Officiant If your officiant is a friend or family member who got ordained for your wedding, a gift rather than a tip is more appropriate. For a professional officiant, $50 to $100 is standard.

Florist Tipping florists is less common but appreciated, especially if they did a large installation or went out of their way. $50 to $100 for the lead designer is a thoughtful gesture.

Transportation (Shuttle, Limo, Trolley) 15 to 20% of the total cost, similar to any car service. If gratuity is already included in the contract, you're covered.

Wedding Coordinator This one surprises people. Tips for coordinators are not expected, it's a professional service fee. That said, if your coordinator went significantly beyond the scope of what was contracted (handled a vendor crisis, stayed four hours past the end of the event, saved the day in some meaningful way), a tip of $100 to $300 is a genuine expression of gratitude. A heartfelt written review is equally valuable and often more lasting.

Logistics: How to Handle It

Prepare tip envelopes in advance. Label each one with the vendor name and amount, and give them to a trusted person, your wedding coordinator, your maid of honor, or a parent, to distribute at the appropriate time. You should not be handing out envelopes at the end of your own wedding night.

Most tips are given at the end of the event. Hair and makeup tips are given the morning of. If a vendor is leaving early (like a florist who drops off and goes), tip them when they arrive.

Cash is still preferred for tips. Some vendors accept Venmo or Zelle, but don't assume.

Build It Into Your Budget Early

Tipping is often forgotten in the initial budget and then becomes a surprise expense. A rough estimate: for a 100-person wedding with full vendor team, budget $500 to $1,500 for tips depending on the size of the crew and the level of service.

If you're working with PREP on your wedding planning, we'll include a tipping worksheet in your planning documents so nothing catches you off guard. Reach out if you'd like to talk through your vendor lineup.
